All Claude projects at healthia must be registered. Start by telling us who this project is for — personal projects take less than a minute.

How to create a shared folder, link it to Claude Cowork, and get your team working into the same project — no IT ticket required.
Step 1
Set up your shared folder in File Explorer

Open File Explorer on your computer. In the left-hand panel, look for the blue building icon — this is your healthia SharePoint site synced via OneDrive. Click it to expand.

Navigate into Documents (or whichever library your team uses) and create a new folder — name it clearly, e.g.
Claude Projects / [Your Project Name].3
Right-click the folder → Share → enter each colleague's healthia email address → set to Can edit → Send. They'll get a link and the folder will appear in their own OneDrive / File Explorer automatically.
💡 Don't see the blue building icon? Open any SharePoint site in your browser, find the folder, and click "Add shortcut to OneDrive" — it will then appear in File Explorer.
Step 2
Create a Cowork project linked to that folder
Do this once yourself first, then share the instructions so each team member can do the same on their own machine.

Open Claude Cowork and click Create a new project. You'll see three options — choose "Use an existing folder" (the bottom option — "Give Claude a folder you already work from").

Click Choose folder in the next screen and browse to the shared folder from Step 1. Find it under the blue building icon in the left panel of the file picker. The Name field will auto-fill from the path — clear it and type a clean name (e.g.
Referral Letter Tool).3
In the Instructions field, write a short description of what this project is for and how Claude should approach it — e.g. what files to expect, what tone to use, any conventions. This is what Claude reads every time the project is opened.

Click Create. Also save your instructions as a file called
PROJECT_INSTRUCTIONS.md into the shared folder — your teammates will need it in Step 3.Each person has their own Claude session — but everyone reads and writes to the same shared folder. Think of it as each person having their own assistant all working into the same shared drive.

Each team member sets up their own Cowork project

Wait around 15 minutes after the folder is created, then ask your team to check File Explorer under the blue building icon — if your SharePoint site permissions are inherited, the folder may already be visible to them with no further action needed.
If they can't see it after 15 minutes, right-click the folder in File Explorer → Share → enter their healthia email → Can edit → Send. They'll receive an email invitation to accept.

Open Cowork → Create a new project → select "Use an existing folder" → click Choose folder → navigate to the shared folder under the blue building icon → select it.

Clear the auto-filled name and give it the same project name. Open
PROJECT_INSTRUCTIONS.md from the shared folder and paste the contents into the Instructions field — so their Claude has the same context as yours.4
Click Create. They're ready. Any files Claude creates or edits sync automatically back to SharePoint via OneDrive for everyone to see.
📌 Day-to-day tip: Let your team know which file you're working on — a quick Teams message is enough — to avoid two people editing the same document at the same time.
📋 Registration: Small team projects should be registered with Tomas Hicking so they're tracked in the registry. Once you've set up your folder, email Tomas.Hicking@healthia.com.au with the project name, what it does, who has access, and the SharePoint folder link.
